10 Essential Project Management Tools for Interior Designers in 2024
Why you should leverage these tech tools in your design business in 2024

I’ve tested these tools extensively and have highlighted my favourites- however I will also suggest the names of alternatives that you could look at to integrate into your workflow.

Now let’s move onto the tools that you have to use in your interior design business. I’ve divided these tools into types ranging from an overall project management system to how to effectively schedule meetings. These tools work seemlessly together, and though I would love to say that you could have one tool that does everything, these tools are †he OG.
You may also want to know about cost- most of these tools have free versions or trials, so you can try them out without unnecessary expense or commitment.
Task and Project Management- Notion
The winner here is Notion. This is my go-to app for all things organisational. One thing I love about Notion is that is is not a one-and-done system. You can basically build a system that is customised for you. Some find Notion overwhelming, but I always suggest to start small and learn how to build yourself rather than trying to take someone else’s system and make it try fit your workflow.
The beauty of Notion is that it is entirely flexible and is designed to grow with you, rather than something that is set in stone.
With any management software, Notion can do the following:
Project Organization: Create boards for each client, with sections for planning, design, procurement, and installation.
Task Management: Assign tasks to team members, set due dates, and track progress effortlessly.
Client Collaboration: Share mood boards, get approvals, and manage feedback all within the platform.
Procurement Tracking: Keep tabs on orders, delivery dates, and vendor communications.
Time Management: Use built-in time tracking for accurate billing and improved productivity.
SOPs: create detailed workflows with videos and other instructions

If Notion isn’t your jam, the next runner up is Asana. Asana is a robust method of running teams and projects. I suggest it for designers who are not interested in storing information or need a client portal. You can check out Asana here.
2. Drawing and Modelling- SketchUp
Even if you are an Autocad, Vectorworks or Revit guru, I don’t know many designers who haven’t used Sketchup for at least part of their workflow.
As someone who's been in the trenches of interior design, I can tell you that SketchUp is not just a tool, it's your secret weapon for winning clients and bringing your wildest design dreams to life. This fantastic software can transform your design process and keep you ahead of the curve in our visually-driven industry!
Being able to translate the ideas in your head into 3D space is a game changer. As visualisation tools go, SketchUp is relatively easy to learn. It integrates with rendering tools such as Enscape and can also help you produce construction documentation through LayOut to hand over to your contractor or architect. For a tool of this power, SketchUp is relatively cheap , especially in comparison to Autocad or Revit, making it the perfect tool for a small interior design company (though it is used by large design companies as well).
SketchUp makes it easy to bring in floor plans from external sources and build out the interior from there. You can also add in textures, furniture and lighting, helping your client see your design concept.
If you only need to to design floor plans, I recommend Rayon. This design tool has a very small learning curve - you can get up and running in only a few hours. However, it is only in 2D which may not be enough for you to communicate your design ideas. It is reasonably priced and packs a punch for its functionality and ease of use.
3. Time tracking: Harvest Time tracker
One of the keys to profitability in the design industry is to manage and track your time.
It is incredibly difficult to know how much you should charge if you don’t have any idea about how long it takes or should take. If you track your time effectively, your pricing will be more precise, helping you estimate project time, and your resources effectively.
Using a time tracking app can be a game changer. Of course you can use a spreadsheet or even pen and paper, but using an app helps you manage your time effectively
I recommend Harvest time tracker. It is very easy to use and learn. You can allocate between billable and non-billable hours and assign different rates to different members of staff. You can manage expenses as well. At the end of the month, you can create reports and even invoices for your projects.
By mastering this powerful tool, you'll not only streamline your workflow but also gain invaluable insights into where your precious time is really going. Remember, in our world of tight deadlines and demanding clients, understanding and optimizing your time is the key to success (and sanity!).

If you are looking for an alternative, I also recommend Toggl. It is very similar however, personally I prefer the interface of Harvest. No matter what you do, if there is one thing that you need to start to do in your business NOW (I mean today!!!) it is tracking your time.
4. Mood boards and ideation- Milanote
My go to app here is Milanote. Milanote is a digital whiteboard that's changing the game for interior designers in 2024. Milanote can be used in a number of ways. It can be used as a digital pinboard (like Pinterest) but with the ability to make notes, leave links. I use it not only for design projects but like to plan out blog posts, you tube videos, work with interior design clients as we go through workflows.
Secondly, you can use it with clients or your team as you work through design ideas. With the chrome extension you can pin any image you find on the internet, quickly and easily.

5. Graphic design- Canva
I have used Adobe products for over 20 years so would consider myself an advanced user, but you just can’t beat Canva for its price and ease of use. Even if you know nothing about graphic design, Canva’s intuitive interface won’t leave you behind.
If there is one app I open every day other than Notion, it’s Canva.
The free version is pretty great, but I like the paid version as it has 2 main features that make creation easy. Firstly it allows you to create a brand folder, where you can keep fonts, colours and images so that you can be consistent across all platforms. Secondly, there are advanced tools like background remover that are so helpful and quick to use.
I use Canva to create moodboards (this is where the background remover tool comes in handy). Canva can also help you create professional design presentations for clients.
Canva recently bought Affinity Designer and Publisher, so I can see my reliance on the very expensive adobe suite is coming to an end. Though I will be sad to leave Adobe behind (though not its less-than-transparent pricing model), I can see the light at the end of the tunnel.
6. Online communication- Zoom
You can’t beat an in person meeting but sometimes it can be more efficient to present your ideas and hold meetings on Zoom. Since the pandemic, everyone has become used to attending online meetings- in fact, for an initial meetings - for example a discovery call, Zoom is perfect. No more meeting in your office or at a coffee shop only to realise that the client is not the right fit for you.
Zoom also integrates with Ecamm- my streaming platform of choice (though only for the mac) which ensures that my presentations and meetings always look professional.

Quick check-ins made easy: Need to get a quick approval on a fabric swatch? Hop on a 5-minute Zoom call instead of scheduling an in-person meeting.
Flexible scheduling: Offer after-hours consultations without sacrificing your personal time by eliminating travel.

7. Online cloud storage : tie!! Dropbox and/or Google Drive
This is a hard choice and I have to confess that I use both. I tend to divide my storage into different buckets.
Having access to Cloud storage isn't just a fancy tech feature; it's the backbone of a modern, efficient, and collaborative interior design business in 2024. By embracing this powerful tool, you're not only streamlining your workflow but also ensuring that your brilliant designs are safe, accessible, and easily shareable. For me I store client work in Google Drive- it’s free and easy for you to use and you can upgrade your storage if needed. I use Dropbox for internal work- mostly I keep my brand assets and video files here. This is for no particular reason, I’ve always just used both, but if you can certainly just stick with one.

Though some would say that Wordpress is the most SEO optimised web platform, there is no use having a website if you are not able to fully update whenever you would like. For me, Squarespace is the most effective website platform there is for an interior designer. However, don’t get caught up in the weeds about platforms, just take it from me- it’s more important about having an effective website that you can use, rather than focus on a particular platform.
That said- I like Squarespace. It does everything that you need an interior design website to do.
